Starting a workflow for a Board moves all relevant content into a tracked review cycle. Similar to standalone files, the initiation of a Board workflow is determined by the role, Creator or Approver, and the action taken.
The workflow begins when the Board or its files transition out of the initial draft state.
1. Starting the Workflow as a Creator
If you set yourself as the Creator (by selecting ‘I’m Creating Content’) upon board creation:
- Add Content: Upload all the files that are ready for review onto the Board.
- Initiate Submission: Click the Submit Board button on the main board interface. This opens the ‘Request Review’ pop-up.
- Complete Request: Add the Approver(s), set a deadline (optional), and include an optional message.
- Send: Click Send. The Board status changes to ‘In Review’, and the workflow has formally begun.
2. Starting the Workflow as an Approver
An Approver typically starts a workflow when they have the initial draft/content and are now ready to trigger the first round feedback iteration.
- Board Setup: After naming the Board, the Approver must select “Invite to Create.” By selecting this, you are automatically designated as the Approver for this Board.
- Add Reference/Feedback: You can upload initial draft files received from your sources onto this board and provide contextual feedback or annotations directly on each file.
- Initiating Revision: To trigger the team to start working, click the Revise Board button.
- Assign Creators: The “Request Revision” pop-up will open. Here, you can invite the specific Creator(s) responsible for the project.
- Send: Once sent, the Board status changes to “In Revision,” formally initiating the workflow by requiring action from the invited Creator(s).
Note: The workflow is only considered “Started” once the board status moves out of the initial draft state (becoming either ‘In Review’ or ‘In Revision’).
