Starting a workflow for a standalone file (one not on a Board) is initiated by the person uploading the content, and their subsequent choice determines their role in the workflow (Creator or Approver).
Initiating the Workflow Upon Upload
When a user drags and drops a file onto the File section of the workspace, a pop-up appears with two crucial choices:
1. Starting the Workflow as a Creator
If you select “Send for review” upon upload, you become the Creator.
- Open the File: Open the file currently in the Draft state.
- Initiate Submission: Click on the Submit File button (at the bottom right). This opens the ‘Request Review’ pop-up.
- Complete Request: Add the Approver(s), set a deadline (optional), and add a message (optional).
- Send: Click Send. The file’s status changes to ‘In Review’, and the workflow has formally begun.
2. Starting the Workflow as an Approver
If you select “Add Feedback” upon upload, you become the Approver, and you start the workflow by demanding a revision.
- Add Feedback: Add your initial comments and feedback to the file.
- Initiate Revision: Click on the Revise File option (available because you are the Approver).
- Complete Request: The Request Revision pop-up opens. You must now select or type the email of the Creator who will perform the revisions. You can also set a deadline (optional) and add a message (optional).
- Send: Click Send. The file’s status changes to ‘In Revision’, and the workflow has formally begun.
