In ButtonShift, a Board’s status is automatically calculated based on the individual statuses of the Files inside it. This eliminates manual updates and ensures your pipeline remains accurate. This applies to Boards with and without workflows.

The 5 File & Board Statuses

  1. Draft (Pending): Creation is currently underway.
  2. In Review: Awaiting stakeholder or client feedback.
  3. In Revision: Revisions have been requested by a reviewer.
  4. Approved: The asset has received official sign-off.
  5. Rejected: The asset has been turned down.

The Precedence Cascade (Priority Rules)

When a Board contains multiple files in different states, the system determines the Board’s overall status by checking these rules from top to bottom. It stops at the first rule that matches:

  • Rule 1: Any Drafts? → Board is Draft (Unsubmitted files are never hidden).
  • Rule 2: Any In Review? → Board is In Review (Awaiting client action).
  • Rule 3: Any In Revision? → Board is In Revision (Work is being corrected).

Quick Scenarios

  • Internal Prep: 4 Approved + 1 Draft = Draft (Draft holds the board).
  • Awaiting Feedback: 2 Approved + 2 In Review = In Review (Active review takes over).
  • Changes in Progress: 1 Approved + 1 In Revision = In Revision (Revision takes priority).
  • Finalized Batch: 3 Approved + 1 Rejected = Approved (Approved trumps Rejected).
